Rental
Rent the platforms, run the operation
Every Nexcool platform is rented as a managed service. There is no licence to buy and no infrastructure to stand up at your end: hosting, updates and support sit inside one recurring fee, and your data stays yours.
- What you pay for
- A recurring fee per platform
- Hosting
- Managed by Nexcool
- Term
- Monthly, quarterly or annual
What the fee covers
Three things arrive with every platform, and none of them are billed separately.
Hosted and managed
The platform runs in a managed environment that we operate for you
- No servers to buy, size or patch at your end
- Backups, monitoring and security updates included
- Access from any branch in a standard browser
Kept current
Rule changes, module updates and fixes arrive as part of the service
- Benefit and scheme rule changes applied without a development project
- Releases rolled out by us, not by your IT team
- No version upgrade fee when the product moves on
Supported for the term
One team answers for the software, the hosting and your data
- Administrator training and counter training at onboarding
- Support covered for as long as the rental runs
- Escalation straight to the implementation team
What the rental covers
| Term | What it means |
|---|---|
| What you pay for | A recurring fee per platform, set by the users, branches and modules in scope |
| Term | Monthly, quarterly or annual, agreed at the start of the rental |
| Hosting | Managed by Nexcool in the environment we operate for you |
| Updates | Delivered by us as part of the service, with no upgrade project on your side |
| Capacity | Users, branches and modules added on request and reflected in the fee |
| Support and training | Included for as long as the rental runs |
| Your data | Yours. Held on your behalf and exportable on request |
| At the end | Export the full dataset before the rental ends, with no purchase step attached |
Rental is per platform and can be scaled. A scheme can rent NEXMAS with NEXCRM embedded, a pharmacy network can rent NEXPHARM per branch, and a service team that already holds member data can rent NEXCRM on its own against the administration backend it runs. Adding a platform later adjusts the fee without restarting the arrangement.
Why we rent rather than sell
- 01One team answers for it
- The software, the hosting and the data sit with the same team, so a support question does not bounce between a vendor and an infrastructure provider.
- 02Updates arrive as part of the service
- Rule changes and module updates land without an upgrade project, a version negotiation or a maintenance window booked at your end.
- 03Cost stays operational
- A recurring fee instead of a capital outlay followed by a separate maintenance contract, so budget reviews are predictable.
Procurement questions
Can we start with one platform and add the others later?
Yes. Most implementations begin with the platform where the operational pain is highest: NEXMAS for administrators, NEXPHARM for pharmacies, or NEXCRM for a service team that already holds member data. NEXCRM also works on its own, and it is embedded in NEXMAS if you opt for NEXMAS. NEXPHARM is deployed as a standalone pharmacy system, so it can go live without waiting for the other two.
Is a chronic register included?
Yes. NEXMAS and NEXPHARM both have a chronic register embedded for managing chronic clients: registered conditions, authorisation status, repeat scripts and review dates. In NEXMAS it sits on the member record used at adjudication; in NEXPHARM it is visible to the pharmacist at the counter.
Can we buy the software instead of renting it?
No. NEXMAS, NEXPHARM and NEXCRM are rented as a managed service, with no permanent licence and no one-time purchase. Hosting, updates and support sit inside the recurring fee, which is why there is nothing to buy separately and no infrastructure to stand up at your end.
Who owns the data?
You do. Records held in the platform remain yours: they are kept on your behalf in the environment we operate for you, and the full dataset can be exported on request, including at the end of a rental.
How is the rental priced?
The fee follows scope: which platforms, how many users or branches, and which modules. It is quoted per organisation after a scoping conversation rather than published as a rate card, so a single-branch pharmacy and a national scheme are not priced from the same table.
How does migration from our current system work?
We start with a data review: which records exist, which are current, and which are historical. Member, provider and product records are mapped first, then open claims or stock balances. Migration is run in a test environment and signed off before any live cutover.
What support and training is included?
Every onboarding includes administrator training and counter-level training for pharmacy teams, plus written process guides. Support runs for as long as the rental does, rather than under a separate maintenance contract.
Can the platforms verify a member online in real time?
Yes, in NEXMAS and NEXPHARM. Both are ready for integration with online biometric systems, and a verification request returns the member's status, available benefits and any open claim transaction, so a provider knows the position before service is delivered rather than after a claim is rejected. NEXCRM does not run biometric checks itself: it connects to the health insurance medical administration backend you already use, so member, claim and benefit activity reaches the relationship layer from that source.
Request rental pricing for your scope
Tell us the platforms, the number of users or branches and when you want to go live. You will get a scoped proposal with the rental term and an implementation outline, not a rate card.
